LEGAL
Privacy Policy
This Privacy Policy explains how VOLT TECH AI LLC (trading as VoltTechAI) collects, uses and protects personal information when you visit our website, contact us, use our client portal or pay us. We do not sell your personal information.
1. Information we collect
Information you give us.
- Project briefs and enquiries: your name, business name, email address, phone number and the project details you send through our forms or by email.
- Invoices: your name, the email address or WhatsApp number we send the invoice to, and what the invoice covers.
- Website chat (VoltBot): the messages you type into our website assistant.
- Client portal: your name, email address, password (stored only as a secure hash), project information, and files and requirements you upload.
- Payments: when you pay, Stripe collects your payment details directly. We receive your name, email address, billing country or address, the amount, and the payment status. We never receive or store your full card number or security code.
Information collected automatically. Our hosting provider records standard server logs (IP address, browser type, pages requested and time). The client portal uses one essential session cookie to keep you signed in. The website assistant stores a random conversation identifier in your browser so it can continue your chat. We do not use advertising or third-party analytics cookies.
2. How we use information
- To reply to your enquiries and prepare quotes.
- To deliver, support and improve the services you buy.
- To process payments, send receipts and keep financial records.
- To operate the client portal and keep it secure, including preventing fraud and abuse.
- To meet our legal, tax and accounting obligations.
We do not use your information for automated decisions that have legal or similarly significant effects on you.
3. Who we share it with
We share personal information only with service providers who help us run our business, under agreements that require them to protect it:
- Stripe, for payment processing and fraud prevention (Stripe Privacy Policy).
- Hostinger, for website hosting and email.
- AI and automation providers that power our website assistant. Your chat messages are sent to them to generate replies.
- The third-party platforms used in your project, when you ask us to connect them.
We may also disclose information if required by law, to protect our rights, or as part of a business transfer. We do not sell or rent personal information, and we do not share it for cross-context behavioral advertising.
4. How long we keep it
We keep personal information only for as long as we need it for the purposes above. Payment and accounting records are kept for as long as tax and accounting law requires, which is generally up to seven years. Website chat conversations are deleted automatically 30 days after the last message. Client portal data is kept while your account is active and deleted on request once our work together has ended, unless we must keep it by law.
5. Security
Our website is served only over encrypted HTTPS. Portal passwords are hashed, private files are stored outside the public website and are only available to their owner, and payments are handled on Stripe’s PCI DSS–certified checkout. No method of transmission or storage is completely secure, but we work to protect your information and limit access to those who need it.
6. Your choices and rights
Depending on where you live, including under US state privacy laws, you may have the right to access, correct, delete or obtain a copy of your personal information, and to opt out of certain processing. To make a request, email [email protected]. We will verify your request and respond within 45 days. We will not discriminate against you for exercising your rights. If we decline your request, you may appeal by replying to our decision.
7. Children
Our website and services are for businesses and are not directed to children under 16. We do not knowingly collect personal information from children.
8. International visitors
We are based in the United States, and our providers may process information in the United States and other countries. By using our website you understand that your information may be processed outside your country.
9. Changes to this policy
We may update this policy from time to time. The “last updated” date above shows when it last changed. Significant changes will be highlighted on this page.
